Terms and Conditions
These terms and conditions govern all bookings for Nabvi Tours products (“Terms and Conditions”).
Nabvi Tours acts as an agent for you in making the arrangements for transportation (including flights), accommodation, tours, transfers, events, and other components of your package.
It is your responsibility to read and understand the terms and conditions set out in these Terms & Conditions and booking confirmation and to remain familiar with the current features of Nabvi Tours.
These Terms and Conditions apply to bookings made through Nabvi Tours and authorized sub-agents.
Bookings for Hajj & Umrah
Hajj & Umrah bookings are subject to additional terms and conditions, which are set out in Appendix A of these Terms and Conditions.
Suppliers
ATOL is a financial protection scheme covering UK travelers. Only ATOL-protected tour operators can offer full financial protection. The price of our air holiday packages includes the amount of £2.50 per person as part of the ATOL Protection Contribution (APC) we pay to the UK Civil Aviation Authority. This charge is included in our advertised prices.
What is ATOL and What Does It Do for Me?
When you buy an ATOL-protected flight or flight-inclusive holiday from us, you will receive an ATOL Certificate. This certificate outlines the services that are financially protected, where to get more information, and who to contact if things go wrong.
We, or the suppliers identified on your ATOL Certificate, will provide you with the services listed on the certificate (or a suitable alternative). If we or the supplier are unable to do so for reasons of insolvency, an alternative ATOL holder may provide you with the services you have purchased or a suitable alternative (at no extra cost to you).
In case of insolvency, the Trustees of the Air Travel Trust may make a payment to you under the ATOL scheme. You agree to assign any claims to the Trustees of the Air Travel Trust if compensation is provided.
Bookings
All bookings should be confirmed in writing. Verbal quotes are estimates only and subject to confirmation upon receipt of a written booking.
Documents sent electronically must be signed and returned before confirmation can be given.
The person making the booking acknowledges that Nabvi Tours reserves the right to deny any booking request without reason.
Name changes may not be permitted but can be confirmed with a written request, subject to the suppliers’ terms and conditions.
Exclusions
The following items are not included in the price of your package, unless specified otherwise: postal charges, airport taxes (if not prepaid), personal items such as drinks, room service, laundry, meals (unless specified), baggage charges, excess baggage, medical or personal insurance, telephone calls, and any costs not expressly stated as included.
Prices
Our Hajj & Umrah packages are priced in Saudi Riyals, which are then converted to pounds Sterling. If the exchange rate decreases and full payment has not been made, you will be liable for the difference.
Any additional government taxes imposed during or after the sale will also be your responsibility.
Fulfillment
You understand that all products and services require fulfillment and documentation, such as air tickets.
All reservations are subject to availability and confirmation.
We are not liable for any claims related to non-fulfillment of bookings between the time of booking and departure. If we are unable to fulfill a booking for reasons beyond our control, we will refund any unutilized funds within 12 weeks or when retrieved from suppliers, though it may take longer.
Documentation
The list of requirements for the visa process is available on our website www.nabvitours.co.uk.
Nabvi Tours is not responsible for visa refusal or loss of documents by the Embassy or consulate during the visa process. In case of refusal, no confirmation will be provided by Nabvi Tours or the Saudi Embassy.
You are liable to pay the full payment, and all visa fees are non-refundable. All fees must be paid before applying for a visa.
It is your responsibility to provide correct documentation and verify that all issued documents are accurate.
Invoice
We issue invoices for the total amount paid for your package. We cannot provide individual invoices for travel components. Invoices may not be available immediately after booking but can be provided on request.
Invoice Errors or Omissions
We reserve the right to correct any errors in rates quoted or miscalculations for any Nabvi Tours package or any other service listed on our website
Fulfillment
You understand that all products and services require fulfillment and documentation, such as air tickets.
All reservations are subject to availability and confirmation.
We are not liable for any claims related to non-fulfillment of bookings between the time of booking and departure. If we are unable to fulfill a booking for reasons beyond our control, we will refund any unutilized funds within 12 weeks or when retrieved from suppliers, though it may take longer.
Documentation

Invoice

Full Payment
Full payment for packages is due upon booking. Payment for flights must be made in full before tickets can be issued. If payment is rejected or does not clear, the booking will be cancelled. Any deposit paid will be forfeited, and applicable cancellation charges may apply.
Amendments
Amendments must be notified within 24 hours after issuance and may incur a fee. You will also be required to pay any fare differences and charges levied by Suppliers, which may be up to 100% of the booking cost.
All bookings are non-changeable and non-refundable unless specified at the time of booking.
Cancellations
Cancellations must be submitted in writing. Most bookings are non-refundable unless otherwise stated on the confirmation. We will attempt to recover funds from suppliers; however, charges imposed by third-party suppliers (such as hotels, airlines, or bus companies) may apply.
These charges will be deducted from any funds you’ve paid. Note: Certain bookings may not be amended after confirmation, and cancellation could incur up to 100% of the booking cost.
If the cancellation is covered under your insurance policy, you may be able to reclaim these charges.
In the event of third-party service failure, alternative arrangements will be offered. If not accepted, a one-night no-show and administration fee will be deducted from the funds recovered. Refund requests must be submitted in writing using the refund form (available upon request). Refund timelines will be provided upon receipt of your request.
Hajj Booking Cancellation
Hajj booking cancellations have separate terms and conditions.
Pandemic Cancellation Policy
In light of global situations, if the Foreign and Commonwealth Office advises against travel or the destination country imposes a ban on UK nationals, a voucher will be offered, or an alternative package will be provided.
Airline ticket refunds can take 6-8 weeks or longer, depending on third-party recovery.
For cancellations for other reasons, admin fees and third-party charges may apply.
Denial of Entry or Boarding
Al-Amanah Hajj & Umrah does not bear liability for denied entry or boarding due to issues while in transit or at the destination. All Islamic holiday tours are non-refundable and non-changeable.
Hotel Policies & Bedding Information
When booking a package with accommodation, the following terms apply unless stated otherwise:
- Hotel rooms are based on double occupancy; extra bedding (rolling bed) may be added for triple or quad occupancy.
- Incidental charges (e.g., parking, phone calls, room service) are not included and must be paid directly to the supplier.
- Hotels may have a minimum age requirement, and guests may need to present valid ID or a credit card at check-in.
Check-in: 18:00hrs
Check-out: 12:00hrs
- Room types and availability are subject to change. Special requests (e.g., specific floor) are not guaranteed.
- Any issues with accommodation should be reported directly to the hotel.
Product Descriptions
Descriptions on our website and promotional materials are based on current agreements with suppliers. Any listed facilities may change before booking.
Maps and Photographs
Maps and photos are for informational purposes only and may not represent actual services provided.
Optional Services or Travel Extras
Some services (e.g., pick-up/drop-off) may require you to contact the supplier directly. These details will be provided in the voucher.
Baggage
Suppliers may have policies regarding baggage size, weight, and number of pieces. Additional baggage fees may apply. Please read the baggage policy for each supplier.
Travel Insurance
We recommend obtaining insurance that covers personal baggage, emergency medical expenses, and cancellation for any reason.
Privacy
Your personal information will be managed according to our privacy policy. You can request a copy via email.
Marketing
By booking, you consent to receiving marketing communications from us. You may also receive promotional updates via text, email, or post.

Consumer Claims
Claims must be submitted in writing within 15 days of returning from your package, along with supporting documentation. We advise printing a copy of these terms for your records.
Liability
- We are not liable for disruptions caused by governments, civil disturbances, strikes, theft, epidemics, or other uncontrollable factors.
- Al-Amanah Hajj & Umrah is not responsible for failure to follow instructions, including baggage handling and check-in times.
- In case of flight delays or missed connections, any additional costs are the responsibility of the airline.
Visa Issues
If your Hajj or Umrah visa is rejected due to personal circumstances or lack of documentation, you will be financially responsible for any losses incurred.
Respect and Responsibility
- Passengers must respect the privacy of others and avoid disruptions during the journey.
- We are not responsible for lost, damaged, or delayed luggage but will assist with recovery efforts.
Miscellaneous
- It is the passenger’s responsibility to ensure proper documentation for the trip.
- Hotels in Saudi Arabia are rated by the Ministry of Tourism and may not meet UK standards.
Appendix A – Hajj Pilgrimage – Special Terms & Conditions
Please note that the following special terms and conditions apply alongside our standard Booking Terms and Conditions when you book a Hajj Pilgrimage with Al-Amanah Hajj & Umrah. Ensure you are fully satisfied with these conditions before confirming your booking.
Hujaj Clearance Process at Hajj Terminal
Upon arrival at the airport in Saudi Arabia, the process from arrival to reaching your residence in Makkah (whether a hotel or standard accommodation) may take between 6 to 8 hours on average, but can occasionally take longer.
Due to the large influx of Hujajj from around the world, all pilgrims must follow the process below:
- Arrival and Queueing: Upon arrival in the arrival hall, Hujajj will queue for immigration clearance.
- Luggage Collection & Security Screening: This is followed by luggage collection and security screening.
- Health Screening: Additional health screening will be carried out.
- Transportation Preparation: Pilgrims will then prepare for transportation.
- Hujajj Transport: Once transport is allocated, Hujajj will board buses to travel to their Makkah residence, with a stop for registration at the designated Hajj Ministry registration office.
- Passport Registration: After registration, passports will be held by the Saudi company responsible for Hajj services until the end of the pilgrimage, and will be returned at the departing airport.
Note: This process applies regardless of which airport you land at.
Government-Provided Transportation (Buses)
Transportation provided by the Hajj Ministry includes:
- From the Hajj Terminal to Makkah Residence.
- During the Hajj days: transport between Makkah Residence to Mina, Arafat, and Muzdalifah.
- From Makkah Residence to the departing airport at the end of the pilgrimage.
Note: Al-Amanah Hajj & Umrah does not control the transportation provided by the Hajj Ministry unless your package specifically includes private buses.
Private Transportation
Private transportation is provided by Al-Amanah Hajj & Umrah for travel between Makkah and Madinah and for Ziyaraat in both cities (unless otherwise stated).
No Transportation Provided
- Al-Amanah Hajj & Umrah will not provide transportation from Mina Tents to Jamarat for Rammi during the 3 days of Tashreeq (10th, 11th, and 12th Zulhijjah).
- Al-Amanah Hajj & Umrah will not provide transportation for Tawaf-al-Ifadah (Tawafi Ziyarat) from Mina Tents to Haram, unless otherwise specified.
Note: Guidance will be provided for Tawaf-al-Ifadah, and pilgrims must stay with the group leader. Al-Amanah is not responsible for any loss or issues if pilgrims choose to go independently.
Luggage Responsibility
Luggage is transported at the pilgrim’s own risk. Pilgrims must ensure their luggage is properly loaded and unloaded during transfers. Al-Amanah Hajj & Umrah is not responsible for any lost or damaged luggage.
Note: Keep valuables, medication, and jewelry with you at all times.
Special Terms & Conditions for Disabled and Severely Ill Persons
Al-Amanah Hajj & Umrah cannot provide special accommodations for those with disabilities or severe medical conditions, as facilities during Hajj are managed by the Saudi Ministry. Please note the following:
- There are no specially adapted rooms, buses, or other facilities.
- If you or a family member has a severe medical condition, disability, or obesity issues, disclose full details at the time of booking so we can assess suitability. Failure to disclose may result in cancellation with applicable charges.
Dietary Requirements
Al-Amanah Hajj & Umrah is unable to cater for special dietary requirements.
Tent, Food, and Drink Arrangements in Mina, Arafat, and Muzdalifah
- Tents in Mina and Arafat are provided by the Saudi Government, with basic bedding (mattress, pillow, and blanket).
- Complimentary food (packed boxes) and drinks will be provided in Mina and Arafat. Snacks and water will be provided in Muzdalifah.
Note: Please do not waste food and keep areas clean.
Food Arrangements
- Aziziya accommodation will include full board, provided by Al-Amanah Hajj & Umrah via private caterers, except on certain days (6th, 7th, 12th, and 13th Zul Hijjah) when food may not be available due to traffic.
Lunar Calendar
Hajj dates are subject to moon sighting, which may alter the itinerary, including stays, food, and transport arrangements.
Travel Insurance
It is strongly recommended to arrange your own travel insurance. Al-Amanah Hajj & Umrah does not provide insurance.
Ziyarah
Ziyarah trips will be guided by multilingual experts.
Room Arrangements
- Aziziyah accommodation will feature standard rooms, typically quad or penta sharing.
- Rooms in 4* or 5* accommodations will be shared (double, triple, or quad, depending on hotel policy).
- Requests for specific room types (e.g., Haram View) are subject to availability and must be made in writing with extra payment.
Note: Special room requests are not guaranteed.
Shuttle Service
Shuttle services from Aziziya to Haram are available, subject to minimum numbers and timings. These services may be withdrawn without notice.
Laundry Service
Laundry services are available through local providers at the pilgrim’s expense. Al-Amanah is not responsible for lost or damaged items.
Miscellaneous
By booking, you confirm you have researched and found the accommodation suitable. All pictures are for illustrative purposes, and actual rooms may vary. Al-Amanah Hajj & Umrah holds no responsibility for changes imposed by the Ministry of Hajj.
